Position Description





POSITION TITLE: Part-Time Office Assistant               DEPARTMENT: EPTA 


POSITION CODE: PT-520                                             FLSA STATUS: Non-Exempt


POSITION REPORTS TO: EPTA General Manager        POSITIONS SUPERVISED: None.                                

BLS COMPARABLE: 43-6014, Secretaries, Except Legal, Medical, & Executive

Leadership: Provides co-worker leadership to others through motivation, team building,

and providing feedback.    



  • Subject to post offer, pre-employment drug screen.

  • Intermediate Word & Excel skills.
  • Keyboarding speed of 45 wpm.
  • In accordance with 49 CFR 391.53, information regarding previous employers may be used for the purpose of investigating the applicant’s safety performance history within the previous three years. This includes general employment, accident, and drug/alcohol information.
  • As a safety-sensitive employee, the employee will be required to comply with all provisions of DOT Regulation 49 CFR Parts 40 and 382, including random drug and alcohol testing.
  • In accordance with 49 CFR 393.23, a Motor Vehicle Report covering the previous three years will be obtained for the purpose of investigating the applicant’s driving history.
  • Possession of a valid Oklahoma driver's license with an acceptable driving record.
  • English proficiency (bilingual preferred).

POSITION PURPOSE: To provide clerical support and customer service in matters regarding Enid Public Transit Authority including the maintenance of organized records of EPTA vehicles, equipment, fuel usage, and passenger usage in order to support the efficient operation of EPTA.



  • Enter data from drivers’ logs into computer.
  • Assist with preparation of schedule for drivers and dispatchers.
  • Assist in planning, development, and maintenance of EPTA transit system, including reviewing ridership data.
  • Assist with the coordinating transport of vehicles to and from maintenance and completion of maintenance for EPTA vehicles.
  • Assist General Manger of Transit on special projects.
  • Assist General Manager of Transit in developing and implementing training program for EPTA Staff.
  • Prepare invoices, reports, memos, letters and other documents.
  • Read and analyze incoming memos, submissions and reports in order to determine their significance and plan their distribution.
  • Prepare responses to correspondence containing routine inquiries.
  • Maintain supplies, records, and applicable accounting requirements.
  • Assist with monthly contract billing.
  • Deposit daily revenues.
  • Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.
  • Perform general office duties such as ordering supplies, maintaining records, and performing basic bookkeeping work.
  • Prepare agendas and make arrangements for committee, board, and other meetings.
  • Provide assistance to other departments as needed.
  • Perform other duties as assigned by the immediate supervisor and/or General Manager.



  • The EPTA runs smoothly and efficiently. Adequate clerical support is provided.
  • Excellent customer service is provided to residents, other departments, and co-workers.
  • Information is correctly prepared, processed, and entered into the computerized system and retrieved. Records are organized, filed, and easily retrieved.
  • Effective working relations exist with City personnel. Management is appropriately informed.
  • Policies and procedures are followed including adherence to applicable safety policies.
  • The City’s professional reputation is maintained.



EDUCATION/EXPERIENCE                   High school diploma or general education degree (GED); and six months related experience and/or training; or equivalent combination of education and experience. 


CERTIFICATES/LICENSES:                  Additional related training preferred.


REQUIRED KNOWLEDGE:                    Clerical — Knowledge of administrative and clerical procedures and systems such as Word, managing files and records, transcription, designing forms, and other office procedures and terminology.       


Customer and Personal Service Knowledge of principles and processes for providing customer and personal services.


English Language Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.


Computer — Intermediate personal computer skills, including electronic mail, routine database activity, word processing, spreadsheet, graphics, etc.


SKILLS/ABILITIES:                              Handle multiple tasks simultaneously.

                                                           Accurate and attentive to detail.

Good communications and public relations abilities.

Good organizational skills.

Ability to assist and support others.

Able to operate telephone, PC, copier, and other basic business machines.



FINGER DEXTERITY:                      Manual dexterity sufficient to work with the fingers.

VISUAL ABILITIES:                          Normal vision, with or without corrective lenses.


PHYSICAL STRENGTH:                   Exerts up to 10 lbs. of force occasionally. (Almost all office jobs.) Sedentary physical activity performing non-strenuous daily activities of an administrative nature. Extensive sitting. Frequent use of arms, hands, and fingers to reach, handle, touch, and feel.


LANGUAGE/COMPREHENSION:     Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization. 


REASONING ABILITY:                     Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.


MATHEMATICS ABILITY:                 Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rates, ratio, and percent and to draw and interpret bar graphs.

WORK SCHEDULE/HOURS:      Part-Time –5 hour shift, typically 9:00 a.m. to 2:00 p.m., Monday - Friday.


Other–Variable lunch period and breaks in coordination with other office personnel.

WORK CONDITIONS:                Well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.


Noise level:                             Moderate noise (examples: business office with computers and printers, light traffic).

4-6 years clerical work in related area.

7+ years specialized experience.

Proficient knowledge of EPTA operating system.

Advanced knowledge of EPTA operating system.

Training or certification from vocational coursework.

Associate’s Degree or equivalent in related field.

Completion of business coursework.

Ability to fill in for supervisor for short periods.

Proficient Word or Excel skills.

Advanced Word or Excel skills.

Knowledge of safety as it applies to job.


Specialized training in government programs.


Ability to fill in temporarily for supervisor.


Valid CPR certificate.
